How a Beirut Real Estate Agency Qualified Leads and Matched Them to Properties
Project overview
A real estate agency in Beirut received property inquiries from forms, email and other channels, and agents qualified each one by hand. We built a workflow that captures requirements, qualifies leads, matches properties and assigns agents. Agents now start each conversation prepared.
The solution
We implemented five connected automations:
- Inquiry capture from every channel, with requirements extracted
- Qualification against the agency's own rules
- Property matching from the available listings
- CRM assignment and follow-up tracking, with viewings booked from agent calendars
- Lead reporting by source, status and outstanding follow-ups
Business impact
Agents now receive qualified, matched and tracked leads.
- Requirements are extracted and checked against the agency's rules before an agent opens an inquiry
- Every lead is assigned at once, and unanswered inquiries are flagged
- Viewings are booked from the agent's calendar and lead sources are reported
The challenge
Inquiries arrived in several places, and agents collected the same details every time: budget, preferred areas, property type and timing. The answers lived in email threads and personal notes, not in one record.
Matching an inquiry to the properties on offer meant searching the property list by hand. There was no consistent way to see which inquiries had been answered, which were waiting, and where leads came from. Follow-ups depended on each agent's memory, and viewing appointments were arranged through long message exchanges.
Individual automations
The automations run in sequence, and each adds information to the same lead record.
Inquiry capture and requirement extraction
Inquiries from every configured channel are collected into one place, and the requirements inside them are turned into structured fields.
- Website forms, the agency email inbox and other configured channels deliver each inquiry to the workflow.
- The workflow reads the message and extracts the buyer or tenant's budget, preferred locations, property type and preferred timing.
- Missing details are listed on the record, so the agent knows what still needs to be asked.
- The source of the inquiry is recorded for reporting.
Agents can correct any extracted field. The original message is always kept beside the extracted data.
Lead qualification with configurable business rules
Not every inquiry needs the same attention. The agency decides what a qualified lead looks like, and the workflow applies those rules consistently.
- Managers configure the rules, for example required fields, budget ranges for the properties on offer and the markets the agency serves.
- Each inquiry is checked against the rules and given a status, such as qualified, needs more information or outside scope.
- The reason for the status is recorded, so an agent can see why a lead was classified as it was.
The rules belong to the agency and can be changed at any time. An agent can override a status, and no inquiry is discarded without a person being able to see it.
Property matching against the property database
Qualified inquiries are compared with the properties that are actually available.
- The workflow reads the available properties from the property database the agency maintains.
- It compares location, property type, budget and timing with the inquiry.
- The best matches are attached to the lead record with the reasons they were chosen.
- Agents can add or remove properties before anything is sent to the prospect.
Matching only uses properties that are in the database and marked available. Agents decide which properties to present.
CRM record creation, assignment and follow-up tracking
Each qualified lead becomes a record in the CRM or admin portal and is given to an agent.
- A CRM record is created automatically, with the extracted requirements, the matches and the source.
- The lead is assigned to the appropriate agent by rules such as area, property type or workload.
- The agent is notified, and follow-up reminders are created.
- Inquiries that stay unanswered are flagged to the agent and then to a manager.
Assignment rules are set by the agency, and a manager can reassign any lead.
Viewing coordination and calendar updates
Arranging a viewing used to take a long exchange of messages. The workflow shortens it.
- When the prospect wants a viewing, the workflow looks at the agent's calendar for free times.
- The available times are offered to the prospect.
- Once a time is chosen, the calendar entry is created for the agent and a confirmation is prepared.
- A reminder goes out before the viewing, and the lead record is updated.
Agents can change or cancel any appointment, and confirmations can be reviewed before they are sent.
Management reporting on leads and follow-ups
The records the workflow creates give managers a view they did not have before.
- Lead sources and how many inquiries each one produces.
- Qualification status across all open leads.
- Outstanding follow-ups and unanswered inquiries, by agent.
- The properties that are matched most often.
Reports are generated from the lead records on a schedule and can be opened as dashboards or received by email.
Reports describe the pipeline. Decisions about how to respond to it stay with management.
How the workflow operates
This is the path of a single inquiry, from first message to viewing.
- An inquiry arrives A form, an email or another configured channel delivers a new property inquiry.
- Requirements are extracted Budget, locations, property type and timing are read from the message into a structured record.
- The lead is qualified The agency's configured rules decide whether the inquiry is qualified, needs more information or is outside scope.
- Properties are matched Available properties that fit the requirements are attached to the record.
- An agent is assigned A CRM record is created, the agent is notified and follow-up reminders are set.
- A viewing is arranged Free times from the agent's calendar are offered and the confirmed viewing is added to the calendar.
- The agent takes over The agent speaks with the prospect and handles the negotiation and any client decision.
